2. Scope of this Privacy Policy

This Privacy Policy describes how ScanPilot (application identifier: com.ina.scanpilot) handles personal data when you use the ScanPilot mobile application ("App") and any related services where this policy is displayed.

Platform: ScanPilot is currently available for Android devices. This privacy policy applies to the Android version of ScanPilot. If ScanPilot becomes available on other platforms (such as iOS) in the future, this policy will apply to those platforms as well, unless otherwise stated.

This policy applies to all users of ScanPilot worldwide, including but not limited to users in: the European Union (EU/EEA), the United Kingdom, Switzerland, Brazil, and the United States. This policy complies with applicable data protection laws including the General Data Protection Regulation (GDPR), UK GDPR, Swiss Federal Act on Data Protection, Brazilian General Data Protection Law (LGPD), and various U.S. state privacy laws (including CCPA, CPRA, VCDPA, CPA, etc.).

Important: This policy covers only data processing by ScanPilot. When you use your device's built-in sharing features (such as sharing documents via email, cloud storage, or other apps), those actions are governed by the privacy policies of the services you choose to share with, not by this policy. Additionally, your use of Android and Google Play Store is subject to Google's terms and privacy policies.

3. Key Privacy Principles

ScanPilot is designed with privacy first and collects zero user data. In particular:

• We do not collect any data from you or your device.
• Your documents stay on your device and never leave it.
• We cannot see, access, or read your documents.
• We do not upload any data to our servers (we don't have servers).
• We do not use analytics, tracking, or data collection services.
• We do not sell, rent, or trade any information (because we don't have any).
• No account is required to use ScanPilot.
• The app works completely offline; internet is not required.

4. Data We Do Not Collect

The following types of data are not collected or stored by us and never leave your device through our systems:

• Scanned documents (images or PDFs) you capture with the app or import from your gallery.
• Text extracted from your documents (OCR results from Google ML Kit).
• Classification labels and confidence scores applied to your documents.
• Any content of your documents, including names, addresses, identification numbers, financial data, medical information, legal information, or any other personal or sensitive information contained in your documents.
• Document metadata such as file names, creation dates, modification dates, or file sizes.
• File paths of your documents on your device.
• The structure or content of your folders, local file system, or device storage.
• Thumbnails or preview images generated for your documents.
• Search queries or filters you apply within the app.
• Any information about which documents you view, edit, rename, share, or delete.

All document-related processing (camera capture, edge detection, OCR via Google ML Kit, classification via TensorFlow Lite, PDF generation, thumbnail creation, saving, viewing, searching, filtering, and organizing documents) is performed locally on your device using on-device technologies. No document content is transmitted to our servers or any external services.

5. Data We Collect

ScanPilot does not collect any data from you or your device. The app operates completely offline and does not include any analytics, tracking, or data collection mechanisms.

5.1 No App Data Collection

ScanPilot does not collect, transmit, or store:

• No usage analytics or statistics
• No device information
• No app usage patterns
• No location data
• No personal information
• No document content or metadata
• No crash reports (unless handled automatically by Google Play Store - see below)

The app has no built-in data collection, analytics, or tracking functionality.

5.2 Google Play Store Crash Reports (Automatic, Not Controlled by Us)

If you download ScanPilot from Google Play Store and the app crashes, Google Play Store may automatically collect crash reports as part of its standard service. This is handled entirely by Google Play Store, not by our app. We do not have direct control over this process, and these reports are subject to Google's privacy policy. These reports typically include technical information (stack traces, error codes) and general device/OS information, but do not contain your documents or document content.

You can control crash reporting through your Google Play Store settings. For more information, see Google Play Console Help.

5.3 Support Communications (Only If You Contact Us)

We only receive data if you choose to contact us. If you email us at scanpilot.info@gmail.com for support, we will see the information you choose to include in your email, such as:

• Your email address
• Your name (if you provide it)
• Any information you include in your message

Important: Please do not send us sensitive document content in support emails unless absolutely necessary. If you do share document content, we will use it only to respond to your request and delete it as soon as reasonably possible. You are not required to contact us to use the app.

5.4 System Permissions

ScanPilot requests access to certain device features to function correctly:

• Camera – Required to capture document images using your device's camera. Camera access is used only for document scanning and is not used for any other purpose.
• Device storage / files – Required to store scanned documents locally on your device and to import existing images from your gallery. Storage access is limited to the app's private directory and files you explicitly choose to import.
• Internet (optional) – The app may request internet permission for optional features such as viewing the privacy policy or terms of use within the app. Internet access is not required for core document scanning, OCR, or classification features.

These permissions are used solely for the purpose of providing the app's core functionality. The resulting data (documents, images, text, classification results) is stored on your device and is not transmitted to us or any external servers.

6. How ScanPilot Works (Technical Overview)

6.1 Complete Local Processing

• Document Scanning: ScanPilot uses your device's camera to capture document images with automatic edge detection. These images remain on your device and are never transmitted to external servers.
• Text Recognition (OCR): ScanPilot uses Google ML Kit for on-device text recognition. Google ML Kit processes images and extracts text entirely on your device. When used in ScanPilot, Google ML Kit operates in on-device mode, meaning document images and recognized text are not sent to Google's servers. All OCR processing happens locally on your device. For more information about Google ML Kit's privacy practices, please refer to Google ML Kit's terms.
• Document Classification: ScanPilot uses on-device AI models (TensorFlow Lite) to automatically categorize documents into 10 categories: Business & Work, Education & Training, Finance & Administrative, HR & Employment, Home & Property, Legal Documents, Medical Documents, Personal Documents, Travel & Transport, and Others. The classification uses a three-tier system: (1) AI model classification using TensorFlow Lite models, (2) OCR-based keyword matching as a fallback, and (3) image feature analysis as a final fallback. All classification processing is performed locally on your device and does not require an internet connection. TensorFlow Lite is an open-source machine learning framework that runs entirely on your device and does not transmit data to external servers.
• Document Management: ScanPilot organizes documents by category, allows searching and filtering, and provides features such as renaming, sharing, and deletion. All document metadata is stored locally in a SQLite database on your device.
• Storage: Documents are stored only in your device's storage, in the app's private directory. PDFs are generated locally from scanned images. Thumbnails are created automatically for quick preview. We do not have access to this storage, and documents never leave your device through our systems.
• Gallery Import: You can import existing images (JPG/PNG) from your device's gallery. These images are processed locally and added to your document collection without being transmitted to external servers.

6.2 No Cloud Upload by Default

ScanPilot does not automatically upload your documents or extracted text to cloud services or external servers. The app operates entirely offline and does not require an internet connection for core functionality. If you choose to export or share a document (for example, using your device's share menu, email, or saving to a cloud drive), that transfer is performed by your device and the chosen third-party service, not by us. We have no control over or access to documents shared through your device's sharing mechanisms.

6.3 Third-Party Technologies Used

ScanPilot uses the following third-party technologies that process data on your device:

• Google ML Kit: Used for on-device text recognition (OCR) and document scanning. When used in ScanPilot, Google ML Kit operates in on-device mode, meaning your document images and extracted text are processed locally and are not sent to Google's servers. Google ML Kit is subject to Google's terms and privacy policy. For more information, visit: Google ML Kit Terms and Google Privacy Policy.
• TensorFlow Lite: An open-source machine learning framework used for on-device document classification. TensorFlow Lite runs entirely on your device and does not transmit any data to external servers. It is a library that processes data locally without network connectivity.

Important: While these technologies are used in ScanPilot, your document content (images, text, classification results) remains on your device and is not transmitted to Google, TensorFlow, or any other third-party service through our app.

7. Legal Bases for Processing (GDPR & Similar Laws)

For users in the European Union/EEA, the United Kingdom, and other jurisdictions that require a legal basis for processing personal data:

ScanPilot does not process any personal data because the app does not collect, transmit, or store any data from your device. All processing happens locally on your device using technologies like Google ML Kit and TensorFlow Lite, which operate in on-device mode.

The only potential data processing would occur if you choose to contact us via email for support, in which case we would process your email and any information you include solely to respond to your request, based on your consent (by contacting us) and our legitimate interest in providing customer support.

Since we do not collect or process any data from the app itself, most data protection obligations do not apply to ScanPilot's operation. Your document content and all app usage remains entirely on your device.

8. Data Retention

• Documents and document content: Stored only on your device in the app's private directory. You decide how long to keep them. You can delete individual documents or all documents at any time through the app. When you delete documents through the app, they are removed from your device's storage. We do not retain any copies because we never receive your documents.
• Document metadata: Stored locally in a SQLite database on your device. This includes information such as document categories, creation dates, and classification results. This metadata is deleted when you delete the corresponding document or when you uninstall the app. We do not have access to this metadata.
• App data: We do not collect any app data, so there is nothing for us to retain.
• Google Play Store crash reports: These are handled by Google Play Store according to Google's policies. We do not control this process.
• Support communications: If you contact us via email, we will keep your email and our responses only as long as needed to resolve your request, unless you request deletion where applicable. If you share document content in support emails, we will delete it as soon as reasonably possible after resolving your request.

Important: If you uninstall ScanPilot, all documents and metadata stored locally on your device will be deleted. We recommend backing up important documents before uninstalling the app. We are not responsible for data loss resulting from app uninstallation or device issues.

9. Data Sharing and Transfers

9.1 We Do Not Sell Your Personal Information

We do not sell, rent, or trade your personal information to third parties. We cannot sell your information because we do not collect any information from you or your device. The app operates entirely offline and does not transmit any data to us or any third parties.

9.2 Third-Party Technologies Used in the App

ScanPilot uses the following third-party technologies that operate entirely on your device:

• Google ML Kit: Used for on-device text recognition and document scanning. When used in ScanPilot, Google ML Kit processes data entirely on your device and does not send your document images or text to Google's servers. However, Google ML Kit is subject to Google's terms and privacy policy. • TensorFlow Lite: An open-source machine learning framework used for on-device document classification. TensorFlow Lite runs entirely locally and does not transmit data to external servers. It is a library that processes data on your device without network connectivity.

Critical: We do not use any third-party analytics, tracking, or data collection services. Your document content (images, PDFs, extracted text, classification results) is not shared with any third-party service providers or transmitted to external servers through our app. We do not share any data because we do not collect any data.

9.3 User-Initiated Sharing

ScanPilot allows you to share documents using your device's built-in sharing features (such as email, messaging apps, cloud storage services, or other apps installed on your device). When you choose to share a document through these mechanisms:

• The sharing is performed by your device's operating system and the service you choose, not by ScanPilot.
• We have no control over or access to documents shared through these mechanisms.
• The privacy practices of the service you share with (e.g., email provider, cloud storage) will govern how that service handles your shared documents.
• We are not responsible for the privacy practices of third-party services you choose to share documents with.

9.4 International Transfers

Since ScanPilot does not collect, transmit, or store any data from your device, there are no international transfers of your data by our app. The only potential data transfer would be if you choose to contact us via email, in which case your email would be processed by email service providers according to their privacy policies.

10. Data Security

We take appropriate technical and organizational measures to protect non-document personal data we process. Because your document content never reaches our servers and remains on your device:

• There is no central server of your documents that could be hacked or breached.
• We cannot accidentally leak your documents as we never receive them.
• Your documents are stored in the app's private directory on your device, which is protected by your device's operating system security measures.
• Release builds of ScanPilot include code obfuscation to protect the app's code from reverse engineering.

Your Responsibilities: You are responsible for:

• Securing your device (such as using passwords, PINs, biometrics, and device encryption).
• Keeping your device's operating system and ScanPilot app updated to the latest versions to benefit from security patches.
• Backing up your documents if needed (e.g., to your own storage or cloud services). ScanPilot does not provide automatic cloud backup.
• Not sharing your device with unauthorized persons if it contains sensitive documents.
• Using device security features such as screen locks and app-specific security settings if available on your device.

Limitation: While we implement security measures in the app, we cannot guarantee absolute security of data stored on your device, as device security depends on your device's operating system, your device security settings, and your use practices. We are not responsible for unauthorized access to your device or documents stored on your device.

11. Your Rights – EU / EEA / UK

If you are located in the European Union/EEA or the United Kingdom, you have rights under the GDPR and UK GDPR regarding personal data processing.

Since ScanPilot does not collect, process, or store any data from your device, there is no personal data held by us that would be subject to these rights. The app operates entirely on your device without transmitting data to us.

The only data we might have would be if you contact us via email for support. In that case, you have the right to:

• Right of access: To know what information we have from your support communications.
• Right to rectification: To correct inaccurate information.
• Right to erasure: To request deletion of your support communications.
• Right to restriction of processing: To request that we limit how we process your support data.

• Confirmation of the existence of data processing (we would confirm we have your support email).
• Access to your support communications.
• Correction of incomplete, inaccurate, or outdated information.
• Anonymization, blocking, or deletion of your support communications.

Since ScanPilot does not collect, process, or store any data from your device, we do not hold personal information about you that would be subject to these rights. The only data we might have would be if you contact us via email for support.

• We do not use your data for targeted advertising (we don't collect any data).

15. Children's Privacy

ScanPilot is not intended for children under the age of 13 (or the applicable age of consent in your jurisdiction, such as 16 in the EU/EEA). We do not knowingly collect personal information from children. Because we do not collect document content from any user, we do not knowingly collect document data from children either.

If you are a parent or guardian and believe your child under the age of 13 (or applicable age) has used ScanPilot and provided us with personal information through support communications, please contact us at scanpilot.info@gmail.com so that we can take appropriate action, including deleting any such information if applicable.

If you are between the ages of 13 and 18 (or the age of majority in your jurisdiction), please review this Privacy Policy with your parent or guardian to ensure you understand how ScanPilot handles data.

15A. User Responsibilities and Acceptable Use

By using ScanPilot, you agree to use the app responsibly and in accordance with all applicable laws and regulations. You are solely responsible for:

• Legal Compliance: Ensuring that you have the legal right to scan, store, and process any documents you use with the app. You must comply with all applicable laws, including copyright, privacy, and data protection laws.
• Document Content: You are responsible for the content of documents you scan and store. We are not responsible for any illegal, harmful, or inappropriate content stored using the app.
• Data Backup: Backing up your documents and data. We are not responsible for data loss under any circumstances.
• Device Security: Securing your device and preventing unauthorized access to your documents.
• Verification: Verifying the accuracy of classification results and any information extracted from documents.

Prohibited Uses: You agree not to use ScanPilot:

• For any illegal purpose or in violation of any applicable laws
• To scan, store, or process content that infringes on intellectual property rights
• To scan, store, or process content that is defamatory, harmful, or violates others' rights
• To attempt to reverse engineer, decompile, or disassemble the app
• To interfere with or disrupt the app's functionality
• To use the app in any way that could damage, disable, or impair our services

Violation of these terms may result in termination of your right to use the app. We reserve the right to investigate violations and may cooperate with law enforcement authorities in prosecuting users who violate applicable laws.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of the policy. If changes are material, we may provide additional notice within the app or by other appropriate means.

18. Definitions and Legal References

18.1 Personal Data / Personal Information

Any information relating to an identified or identifiable natural person, such as name, email address, an identification number, location data, or online identifier.

18.2 Sensitive Personal Information

Information considered sensitive under applicable law, which may include data about health, biometrics, race or ethnic origin, political opinions, religious or philosophical beliefs, union membership, or precise geolocation. ScanPilot does not intentionally collect such information; however, users may store such data in their documents on their device. That document content is not transmitted to us.

18.3 Usage Data

Information collected automatically by the app or its analytics components, such as app events, device type, operating system version, and general interaction data. This does not include document content.

18.4 Data Controller / Controller

The natural or legal person which determines the purposes and means of processing personal data. For the limited non-document data processed by ScanPilot, the Controller is the ScanPilot app owner listed in Section 1.

18.5 Data Processor / Processor

A natural or legal person which processes personal data on behalf of the Controller (for example, certain analytics or crash-reporting providers).

The ScanPilot mobile application and related services through which your data may be processed as described in this policy.

18.7 Service

The functionality provided by ScanPilot, including scanning, OCR, classification, local storage, and related features.

18.8 Sale / Sharing / Targeted Advertising (US State Laws)

Terms defined by applicable US state privacy laws. ScanPilot does not sell your personal information and does not use your document content for cross-context behavioral advertising.

18.9 User / Data Subject

The individual who uses ScanPilot and to whom personal data relates.

18.10 Classification Accuracy and Limitations

ScanPilot uses AI models and algorithms to automatically classify documents. While the classification system is designed to be accurate, classification results are provided "as is" and may not always be 100% accurate. The app uses a three-tier classification system with varying accuracy levels:

• AI model classification: 85-95% accuracy when models are available
• OCR-based keyword matching: 70-85% accuracy
• Image feature analysis: 50-60% accuracy

You are responsible for verifying classification results and manually correcting classifications if needed. We are not liable for misclassification of documents.

18.11 Legal Notice

This Privacy Policy is intended to transparently describe how ScanPilot handles data. It is not legal advice. If you have specific legal questions about your privacy rights or data protection, you should consult a qualified lawyer or contact your local data protection authority.

18.12 No Warranty and Limitation of Liability

ScanPilot is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee:

• That the app will always function without errors or interruptions
• That classification will always be accurate
• That your documents will be secure against all possible threats
• That the app will meet your specific requirements
• That the app will be compatible with all devices or operating system versions
• That third-party services (such as Google ML Kit) will always be available or function correctly

Limitation of Liability: To the maximum extent permitted by applicable law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or use, incurred by you or any third party, whether in an action in contract or tort, arising out of or relating to your use of ScanPilot, even if we have been advised of the possibility of such damages.

Data Loss: We are not responsible for any loss, corruption, or deletion of your documents or data, including but not limited to: data loss due to device failure, damage, theft, or loss; accidental deletion; software errors; operating system updates; app updates; or any other cause. You are solely responsible for backing up your documents and data.

Third-Party Services: We are not responsible for the availability, accuracy, or functionality of third-party services used by the app (such as Google ML Kit). Any issues with third-party services are subject to those services' terms and policies, not ours.

You use the app at your own risk. Your sole remedy for dissatisfaction with the app is to stop using it and uninstall it from your device.

18.13 Indemnification

You agree to indemnify, defend, and hold harmless ScanPilot, its owners, operators, and affiliates from and against any and all claims, damages, obligations, losses, liabilities, costs, or debt, and expenses (including but not limited to attorney's fees) arising from:

• Your use of or access to ScanPilot
• Your violation of any term of this Privacy Policy or applicable laws
• Your violation of any third-party right, including without limitation any copyright, property, or privacy right
• Any content or documents you scan, store, or process using the app
• Any claim that your use of the app caused damage to a third party

18.14 Intellectual Property

ScanPilot, including its name, logo, design, code, and all related intellectual property, is owned by us and protected by copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, sell, or lease any part of the app or its code, or reverse engineer or attempt to extract the source code of the app, unless laws prohibit those restrictions or you have our written permission.

Your documents and data remain your property. We do not claim any ownership rights over your documents or the content you scan or store using the app.

18.15 App Updates and Modifications

We reserve the right to modify, update, suspend, or discontinue ScanPilot (or any part thereof) at any time, with or without notice. We may release updates that add, modify, or remove features. We are not obligated to maintain or support any particular version of the app. We are not liable to you or any third party for any modification, suspension, or discontinuation of the app or any part thereof.

Updates may require you to update your device's operating system or may change app functionality. We are not responsible for any issues arising from app updates or your failure to install updates.

18.16 Force Majeure

We shall not be liable for any failure or delay in performance under this Privacy Policy which is due to circumstances beyond our reasonable control, including but not limited to: natural disasters, war, terrorism, pandemics, government actions, internet or telecommunications failures, or failures of third-party services or infrastructure.

18.17 Severability

If any provision of this Privacy Policy is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that this Privacy Policy shall otherwise remain in full force and effect and enforceable.

18.18 Entire Agreement

This Privacy Policy, together with any Terms of Use or other legal documents referenced herein, constitutes the entire agreement between you and ScanPilot regarding the privacy aspects of your use of the app.

18.19 Governing Law and Jurisdiction

This Privacy Policy shall be governed by and construed in accordance with applicable laws, without regard to conflict of law provisions. Any disputes arising out of or relating to this Privacy Policy or your use of ScanPilot shall be subject to the exclusive jurisdiction of the courts having jurisdiction over the matter, as determined by applicable law.
